10 essential tips for your "Safe Event"

Service providers, congress, and conference planners have been waiting a long time to be given a final date for the resumption of events. The time has now finally come, and hybrid and physical events can be resumed under certain conditions.
But what do planners have to consider when organising events? Which documents are needed on –site and what  planning is required beforehand?
Convention Bureau Tirol has summerized 10 essential tips on how to make your event in Tirol a “safe event”, explained step by step.

Before the event

•  Seek information in advance
Current information on the situation in Tirol as well as details on existing entry restrictions, rules on social distancing and where it is necessary to wear an FFP2 mask can be found at www.welcome.tirol.

•  Protective Shield for Organisers
Since 19th January 2021, organisers of events taking place in Austria from 1st March to 31st December 2022 can apply for the Protective Shield for Organisers to compensate for any financial losses caused by a COVID-19-related cancellation, or significant restrictions. This funding covers € 300 million and applies to events with and without revenue.

•  Hygiene concepts
Our partner organisations have developed hygiene concepts for their venues.
These hygiene concepts or house rules can, in fact, be stricter than the official COVID-19 preventative measures, so it is essential that these are communicated to the participants before the event, so that they can be implemented accordingly.

•  Prevention concept
A COVID-19 prevention concept must be prepared and enforced by a responsible COVID-19 officer.
However, the approval of such a prevention concept by an official body is not foreseen. It must nevertheless be available in the event of possible checks by the competent health authority.

•  COVID-19 officer
A responsible COVID-19 officer must be appointed for events. This person must be familiar with the prevailing legal regulations and recommendations. Moreover, this person is responsible for ensuring that the COVID-19 prevention concept is enforced accordingly at the event.
Our partner companies have completed training as COVID-19 officers and can provide you with informative support during the event. The COVID-19 officer should always be appointed by the event organiser.

•  Entry registration
The current entry regulations for Austria can be found HERE.
Since 15th January 2021, persons entering Austria must register digitally in advance to obtain a so-called “pre-travel clearance,” (no earlier than 72 hours before entering Austria). This also applies to Austrian nationals. Further information and the entry form – Pre-Travel-Clearance can also be found at www.oesterreich.gv.at.

•  Rapid antigen test
Only participants with a negative rapid antigen test may take part in events. This test must not be older than 48 hours. The form or a screenshot of the negative result must be presented at registration and upon request.

During the event

• Face masks
All participants must wear an FFP 2 mask in closed rooms. Please do not forget to change your FFP 2 mask if it is damp, as it no longer offers protection!
Masks may be removed while seated at the designated and assigned seating area.

• Social distancing
A minimum distance of 2 m must be maintained between the individual participants.
The seats must be arranged accordingly, as well as marked and assigned to the participants.

• On site hygiene
Please use signage, announcements and information material to instruct participants repeatedly to adhere to the well-known hygiene rules: wash and disinfect hands, change damp masks and observe the minimum social distancing.
As mentioned above, the prevention concept is to be enforced here and instructions by the COVID-19 officers are to be followed.
